Issuing an invoice does not have to be complicated. NaFakturu makes the whole process as simple as possible, from filling in company details automatically from ARES (Czech business register) to generating a QR code for payment. This guide walks you through issuing your very first invoice.
Tip: Before you issue your first invoice, we recommend filling in your company’s billing details and adding your customers as contacts. It will save you time on every invoice that follows. Managing contacts is covered in the guide How to manage contacts.
What you will need
- A Wopro account: if you do not have one yet, sign up here
- Your company ID (IČO): your details are loaded automatically from the ARES register
- Customer details: company name, company ID (IČO) or the name of a private individual
How to issue an invoice
Sign in to NaFakturu
Go to nafakturu.cz and sign in with your Wopro account. After your first sign-in, you will be asked to fill in your billing details. Enter your IČO (company ID) and click the “Načíst z ARES” (Load from ARES) button. The system fills in the company name, address and VAT ID (DIČ) automatically.
Create a customer contact
Go to the “Kontakty” (Contacts) section and click “Nový kontakt” (New contact). Enter the customer’s IČO and use the ARES button to fill in the rest automatically. The contact is saved and you can reuse it on future invoices.
Create a new invoice
In the “Faktury” (Invoices) section, click “Nová faktura” (New invoice). Choose the customer from your contacts. The invoice number is assigned automatically from your number series, so you do not have to worry about numbering.
Add invoice items
Click “Přidat položku” (Add item) and fill in the name of the service or goods, the quantity, the unit price and the VAT rate (if you are VAT-registered). You can add as many items as you need. The total is calculated automatically.
Check the preview and send
Click “Náhled” (Preview) to see what the finished invoice will look like. Check the details, the due date and the bank details. Every invoice includes a QR payment code that makes it easy for your customer to pay from their mobile banking app. When everything is in order, click “Uložit” (Save) or “Odeslat e-mailem” (Send by email).
Tip: Invoice numbers are generated automatically in the format YYYYMMXX (year, month, sequence). If you need your own number series, you can set it up in the invoicing settings.
Important: A sent invoice cannot be edited afterwards. If you need to correct it, issue a corrective tax document (credit note). That is why you should always check all the details carefully in the preview before sending.
Frequently asked questions
Does the QR code work with all banks?
Yes. The QR code on the invoice follows the Czech Banking Association standard and works with all Czech banks that support QR payments.
Can I issue invoices if I am not VAT-registered?
Of course. If you are not a VAT payer, simply do not select a VAT rate for the items and the invoice is generated without a tax breakdown.
How do I download an invoice as a PDF?
In the invoice preview, you will find the “Stáhnout PDF” (Download PDF) button. You can save the document to your computer or attach it straight to an email.
