How to manage contacts

Contacts are the building blocks of invoicing. When your customers and suppliers are neatly stored in your address book, issuing an invoice or recording an expense takes just a few clicks. This guide shows you how to add, edit and make the most of contacts in NaFakturu.

Tip: Contacts in NaFakturu are shared between invoices and expenses. When you add a customer while issuing an invoice, they are automatically available in the expenses section too, and vice versa. You never have to enter the same company twice.

What you will need

  • A Wopro account: if you do not have one yet, sign up here
  • The contact’s company ID (IČO): optional but highly recommended, as it lets you load their details automatically from ARES, the Czech business register

Managing contacts step by step

Open the contacts section

Sign in at nafakturu.cz and click “Kontakty” (Contacts) in the main menu. You will see an overview of all your saved contacts, which you can filter and search.

Add a new contact

Click “Nový kontakt” (New contact). A form opens where you enter the basic details. The quickest way is to enter the IČO (company ID) and click the “Načíst z ARES” (Load from ARES) button. The system fills in the company name, registered address, VAT ID (DIČ) and other details from the public register automatically.

Add contact details

Besides the company details, you can add an email (for sending invoices), a phone number and a note. If you invoice a private individual without an IČO, fill in their name and address by hand.

Save the contact

Click “Uložit” (Save). The contact appears in the list straight away and is available when you issue invoices and add expenses. When choosing a customer or supplier, just start typing the name and the system suggests matching contacts.

Edit and manage existing contacts

To edit a contact, click its name in the list. You can change any of the details and save them. If you no longer need a contact, you can delete it, but only if no invoices or expenses are linked to it.

Important: If an existing company’s details change (e.g. it moves to a new registered address), update the contact by hand or use the ARES button again. Older invoices keep the original details that were valid when they were issued, which is correct from an accounting point of view.

Frequently asked questions

What is ARES and why use it?

ARES (Administrative Register of Economic Entities) is a public database of Czech businesses run by the Czech Ministry of Finance. The link to ARES saves you typing and eliminates typos in details that could cause problems during a tax inspection.

Can I import contacts in bulk?

Bulk import of contacts is planned for one of our future updates. For now, please add contacts one by one. Thanks to ARES, it only takes a moment.

Why can’t I delete a contact?

A contact cannot be deleted while it is linked to existing invoices or expenses. This protects you from losing data by accident. If you no longer want to use a contact, you can simply leave it in the list, where it will not get in your way.
